Guidelines for Promoting Events

Planning an excellent event always involves making sure people attend.  There are a few ways to maximize attendance at student organization events. The Dean's Communications Office (sphcomm@tulane.edu) is an excellent resource to help promote your event in a timely fashion to student, staff, and faculty.

General Tips

  • Plan the logistics of your event and submit the needed paperwork to Student Programs for approval if applicable.
  • Start promoting your event  two to three weeks ahead of time.  Promoting a bigger event will require an even longer promotion period! 
  • Include detailed information about the event, including the title, date, time, location, contact information and websites.
  • Add your event to the main university calendar, make SPHTM the primary sponsor, and send us the URL for the event with your event information.
  • If you need assistance from the Dean's Communications Office, please contact them (sphcomm@tulane.edu) at least  two to three weeks in advance of your event.
  • When ordering items to promote an event, be sure to order at least one month in advance.
  • If you need printed materials that originate from the Dean's Communications Office, please give them four to six weeks' notice.

Publicity Outlets

  • Weekly events email: This is the primary vehicle for announcing meetings, seminars, and other events. All event information must be submitted by noon on the Thursday preceding the Monday morning mail out.
  • Departmental Email: Contact SPHTM department Program Managers to send an email on your organization's behalf.
  • Tulane Calendar of Events: Add your event to the Tulane Calendar of Events.
  • Elevator Bulletin Boards: Create your quarter or half-page sized flyer and print eight copies for the elevator bulletin boards and two extra copies for the bulletin boards outside the student lounge on the first floor and on the 12th floor.
  • Social media: Publicize your events via school social media sites:
  • Listserv: The listserv is reserved for postings related to the business and mission of the school. The SPHTM listservs are reserved for official Tulane communications to SPHTM faculty, staff, and/or students. Visit the listserv guidelines for more information. 
  • Send social events to the SGA social media chair at sphtmsga@tulane.edu.
